Guidelines for Accepting Interns
SEKAIA Corporation (hereinafter referred to as "the Company") is committed to ensuring a safe and rewarding experience for all interns participating in the internship program operated by the Company (hereinafter referred to as "this Service"). The Company also aims to handle personal information appropriately and to build a robust compliance framework. We kindly ask that you read and understand the following guidelines, agree to the contents of this confirmation letter, and proceed with accepting interns accordingly.1. Status of Interns
Interns referred through SEKAIA's service participate in this program to maximize their contributions to the host company, while learning about working practices in Japan and developing their professional careers.
Please understand that this program is not intended as a source of unpaid labor. We ask that you provide interns with practical and meaningful work experience within your organization.2. Work Environment and Safety
The host company must provide an appropriate work environment that gives the utmost consideration to the physical and mental well-being of interns. Specifically, the host company must:
- Respect the intent of labor-related laws and regulations and not force interns to work excessive hours, perform late-night duties, or engage in hazardous tasks.
- Comply with all applicable laws and regulations (including the Labor Standards Act and the Occupational Safety and Health Act) when accepting interns.
- Provide interns with thorough advance explanations regarding their job duties, working hours, days off, and other relevant working conditions.
3. Prevention of Harassment, Privacy Protection, and Healthy Working Relationships
The host company must comply with the Act on Comprehensive Promotion of Labor Policies, Development and Training of Workers, and Other Matters (Comprehensive Promotion of Employment Measures Act).
- Sexual harassment, power harassment, and any other form of harassment toward interns —including coercion of personal relationships or personal contact—is strictly prohibited and will not be tolerated under any circumstances.
- The privacy of interns must be treated with the same respect and care extended to the host company's own employees.
- Please be aware that if the Company or an intern reports conduct constituting harassment or similar behavior, legal action may be sought as a means of resolution.
4. Personal Information Protection and Confidentiality
4.1 Protection of Personal Information
Personal information is collected and used for the following purposes: Purpose of Collection- Procedures for accepting interns and related business communications
- Providing information regarding this Service
- Responding to inquiries directed to the Company or regarding the internship program
- Communications necessary for the smooth operation of the internship and the safety management of interns
Right to Request Disclosure You have the right to request notification of the purpose of use, disclosure, correction, addition or deletion of items, erasure, suspension of use, or suspension of provision of personal information submitted to the Company.
4.2 Information Protection by the Host Company
The host company must:
- Strictly manage any personal information of interns (including contact details) obtained through the acceptance process, and use it solely for internship-related purposes.
- Not disclose interns' personal information to third parties.
- Appropriately instruct interns to maintain confidentiality regarding the host company's trade secrets and proprietary information.
5. Obligation to Report Issues Immediately
Should any of the following situations arise involving an intern, the host company must not attempt to resolve the matter independently. Instead, it must immediately notify the Company and cooperate in good faith to address the situation together:
- An accident or injury occurring during work
- Damage caused by an intern to the host company's equipment or other assets
- A report or consultation from an intern regarding harassment or related concerns
- Any other situations that may hinder the smooth progress of the internship
6. Exclusion of Anti-Social Force
The host company and its officers and employees hereby affirm the following
- Neither currently nor in the future does the company fall under the category of anti-social forces, including organized crime groups.
- The company is not involved in sustaining or operating anti-social forces through the provision of funds or any other means
7. Use of Cookies and Related Technologies on the Company Website
The Company's website uses cookies and web beacons provided by third-party analytics services. These tools are used for the purpose of improving the website and may collect data such as access counts and page views. All information gathered is used solely for statistical purposes and does not include any personally identifiable information. Users may configure their browser settings to refuse cookies or to display warnings upon receipt. Refusing cookies will not affect your ability to use the Company's website.
